As a Shipping Coordinator in Logistics, this position will manage a portfolio of shipping documentation, coordinating shipments and ensuring timely deliveries. This includes data entry, compliance with shipping regulations, and collaboration with various stakeholders including Customer Service, Suppliers, Freight Forwarders, and warehouse personnel.
Reporting to the Senior Supervisor, Logistics, this role is responsible for managing shipping documentation and ensuring timely deliveries. It involves data entry, compliance with shipping regulations, and collaboration with various stakeholders.
Responsibilities:
- Prepare and file all shipping documents (D/O, Commercial Invoice, Packing List) for different types of shipments (Revenue Sales / Warranty Orders)
- Manage BOI Shipments approval and provide Advance Shipping documents
- Enter and update shipment data in Oracle System and customer portals
- Provide shipment-related information upon request (e.g. Pictures, Certificate of Origin, Cargo details) to Customer
- Liaise with Customer Service Representatives, Suppliers, Freight Forwarders, shipping companies, and warehouse personnel on delivery status / shipment schedules
- Monitor shipment reports (e.g. Miss OTD report, BOI report, daily shipping reports) to ensure timely deliveries
- Lead the shipping team and resolve daily shipment and order processing issues encountered by the team, including correspondence on shipments (e.g. missing / additional documents to support shipment clearance) and escalate complicated issues where required
- Conduct investigation of shipment issues/errors and implement correction actions on simple issues. For complicated issues, work together with Supervisor on the resolution
- Assist in daily manpower allocation for shipping operation and train new hires / team members in shipping process
- Point of contact for routine shipping-related inquiries and coordinate with other departments
Qualifications:
- Requires a minimum of 2-4 years of related experience
- Qualifications required: ITE / N Levels (6 years of experience) / GCE ‘O” Levels (5 years of experience) / Diploma in SCM/Logistics (3 years of experience) / Higher Diploma in SCM/Logistics (2 years of experience)
- Experience in working on assignments that require judgment in resolving issues or in making recommendations
- Able to perform Data Entry of shipments details into Oracle
- Able to troubleshoot for incorrect shipment arrangement / documentation error under moderate supervision
- Able to work independently and lead team to deliver monthly KPIs
- Proficiency in Microsoft Excel (Data Entry, using simple formulas)
- Proficiency in Microsoft Word for preparation of Standard Letters for shipment documentation
