Job summary

Job description

Responsibilities

· Manage end-to-end order processing, including order input, confirmation, and follow-ups

with both suppliers and customers.

· Coordinate with internal and external stakeholders—vendors, suppliers, and customers—to

ensure smooth order fulfilment and timely shipments.

· Issue commercial documents such as Proforma Invoices, Sales Confirmations, and Final Invoices.

· Plan shipping schedules and arrange shipments, including vessel bookings.

· Prepare, review and verify shipping documentation (e.g. shipping invoices, shipping instructions, and Bills of Lading) to ensure accuracy and compliance with contractual terms, including Letters of Credit.

· Arrange courier dispatches for Original Bills of Lading (OBL) and other critical documents.

· Monitor outstanding accounts receivable (AR), follow up on overdue payments, and support

account closing activities.

· Track and report freight costs, analyze logistics performance, and identify opportunities for

cost optimization.

· Support internal audits, compliance reviews, and proper documentation filing.

· Assist in identifying and implementing process improvements in order fulfilment and shipping operations.

· Perform any other related duties as assigned from time to time.

Requirements

· Min. Diploma in Supply chain, Logistics, Business admin, Business management.

· 3 to 5 years experience in shipping/logistics or experience in import & export/trading company

· Strong coordination and problem-solving skills; able to multitask and manage time effectively.

· Comfortable working with in-house systems and learning new tools quickly; experience with MS Office, MS Dynamics, Power Query, and PowerApps is a plus.

· Open-minded, adaptable to change, and proactive in seeking process improvements.

· High attention to detail, with the ability to thrive under pressure and manage workload independently.

· Strong interpersonal and communication skills for cross-functional collaboration
