Overview

The Executive Assistant/Senior Executive Assistant provides critical administrative support to the Executive Director (ED) and assigned clinicians, ensuring efficient office management and smooth operations within the department.

Responsibilities
  • Manage the ED’s calendar, including scheduling meetings and appointments.

  • Coordinate and support meetings:

    • Prepare agendas, take minutes, and follow up on action items.

    • Arrange catering when necessary.

  • Handle outgoing and incoming mail dispatch within the hospital and to external parties.

  • Perform administrative tasks such as typing, sorting, filing, scanning, photocopying, and preparing routine correspondence, reports, and presentations.

  • Coordinate special projects and initiatives as directed by the ED, including liaising with other departments and external partners.

  • Collate and update department data for cost management and improvement efforts.

  • Manage procurement processes:

    • Source quotations, submit invoices for payment, and process office expense reports.

  • Submit claims and maintain records for course claims, night allowances, staff leave, and petty cash.

  • Handle confidential and sensitive information with professionalism and discretion.

  • Collect and dispatch documents across hospital premises.

  • Manage office supplies requisition and inventory control.

  • Provide general administrative support to team members as needed.

  • Perform other ad-hoc duties assigned by the supervisor.

Requirements
  • Diploma from a recognized institution.

  • Minimum 2 years of clerical and administrative experience.

  • Good understanding of accounting and figures.

  • Proficient in Microsoft Word, Excel, and PowerPoint.

  • Strong communication and interpersonal skills.

  • Ability to work independently and maintain confidentiality.
