An established industry player is seeking a dedicated Administrative Assistant to provide essential support to the Vice-President of Line Maintenance International. This role involves managing schedules, coordinating travel, and overseeing contract management duties. Responsibilities:
Secretarial Support:
Maintain meeting calendar and scheduling of meetings for Vice-President Line Maintenance International.
Handle business travel related arrangements including flight ticket booking, hotel booking, visa application and expenses/claims
Contract management duties:
Maintain and archive physical contracts and key documents for line maintenance division
Support on the SAP updating of contracts for line maintenance division
Handle courier services arrangements as necessary.
Adhoc Event Coordination Duties:
Assist in organising of company events and sourcing of festive hampers and marketing giveaways.
Support on airshow administration work.
Administrative Duties:
Handle visitors pass applications and facilitate customer visits.
Management of complaint and compliments registry for line maintenance division
Consolidate and disseminate relevant aviation industry news daily
Oversee office assets within department and ensure proper maintenance of office appliance
Perform adhoc work such as invoice processing, stationary indent, new staff onboarding and support on department audits.
Perform such other duties as assigned to him/her by HODs or Vice-President (Line Maintenance International)
Qualifications:
Previous experience in a data entry or administrative role is a plus.
Proficiency in SAP is highly desirable.
Strong attention to detail and commitment to data accuracy.
Excellent organizational and time management skills.
Effective communication and collaboration abilities.
Familiarity with MS Office applications like Microsoft Excel and Word.
Ability to work independently and as part of a team.
