About the Department

Administrative Support is responsible for providing administrative and secretarial support to management teams or product areas. Specializes in providing administrative and secretarial support for a department or group of individuals. Responsibilities may include meeting coordination, supplies and equipment ordering, assistant coordination, payroll for staff eligible for overtime, and overtime reports.

Job Responsibilities

Administrative

  • Manage division heads calendar and coordination of meeting and logistics
  • Assists with travel arrangements for division heads and teams
  • Assist the division heads in submitting the claims and expenses for reimbursement
  • Co-ordination for staff engagement event/client events where required
  • Assists with invoicing and procurement-related tasks
  • Performs administration for Contingent Workers in Workday

Office Support

  • Manage department leads calendar and coordination of meeting and logistics
  • Assists with travel arrangements for department leads and teams
  • Assist the department leads in submitting the claims and expenses for reimbursement
  • Backup for Office Manager and Confidential Secretary in their absence
  • Assume other responsibilities relevant to position as delegated from time to time

Reporting

  • Support mandatory reporting activities including monthly KORI, MAS 643, realization, performance, and financial reporting
  • Assists with business management reports (ECIF/User Access Review) & annual stock take

Communications

  • Assist to create and report product marketing plan
  • Design and draft communications and bulletins for internal distribution
  • Support product marketing work in collaboration with Product and Marketing teams

Compliance

  • Ensure compliance with company policies and procedures
