About the Administration & Corporate Records and Information Services (A&CRIS) Division
The A&CRIS team governs and manages the corporate records and provide information reference services to EDB.
We are seeking an experienced professional to lead our Workplace & Facilities Management function. This role will be responsible for developing and implementing strategies to create an efficient, sustainable, and productive workplace environment while ensuring operational excellence through effective management of integrated facilities management services.
What you will be working on:
Your key responsibilities include but are not limited to:
Facilities Management & Operations
- Lead and oversee the Integrated Facilities Management (IFM) contract, including performance monitoring, service level agreement compliance, and vendor relationship management
- Develop and implement facilities management strategies aligned with organisational objectives and requirements
- Ensure compliance with workplace health and safety regulations and building codes
- Oversee day-to-day facilities operations, including maintenance, repairs, and improvements
- Develop standard operating procedures for efficient workplace management
Project Management
- Lead workplace improvement projects, including space optimisation initiatives, capacity planning, seat allocation, office renovation works
- Collaborate with internal and external stakeholders to ensure project success
- Monitor project timelines, budgets and deliverables
Sustainability & ESG
- Develop and implement the organisation's sustainability strategy and initiatives
- Lead Green Mark certification efforts and ensure compliance with GreenGovSG requirements
- Monitor and report on sustainability metrics and environmental performance
- Implement energy efficiency initiatives and green workplace programmes
Business Continuity
- Develop and maintain business continuity plans for workplace operations
- Conduct risk assessments and implement mitigation strategies
- Lead crisis management efforts related to workplace disruptions
- Ensure operational resilience through proper planning and documentation
Workplace Experience & Programming
- Design and implement workplace & wellness programmes and initiatives
- Create engagement strategies to promote sustainability
- Manage workplace policies and procedures related to flexible work desk arrangements
- Develop and implement innovative solutions to enhance workplace experience
Lease and Tenancy Management
- Oversee lease administration and management of office premises, including lease renewals, terminations, and amendments
- Coordinate with landlords and relevant stakeholders on tenancy matters, including fit-out works and reinstatement requirements
- Monitor and manage lease expenses, service charges, and utility costs
- Conduct Cost-Benefit Analysis to identify lease optimal positioning and develop recommendations
Administrative Services
- Design and oversee administrative services supporting EDB workplace operations.
What we are looking for:
To meet the challenges of this role, you must have/be:
- Degree in Real Estate, Facilities Management, Engineering, or related disciplines
- Minimum 5 years of relevant experience in facilities management, workplace operations, or related fields
- Experience working in the Singapore government agency in similar role would be an added advantage
- Strong stakeholder, project and vendor management skills
- Proven experience in managing IFM contracts and service providers
- Knowledge of workplace health and safety regulations
- Experience with sustainability reporting and ESG initiatives
- Strong analytical and problem-solving capabilities
- Ability to work effectively in a fast-paced environment
- Excellent communication and writing skills
- Results-oriented with attention to detail
- Innovative mindset with ability to drive continuous improvement
- Excellent interpersonal skills with ability to work across all levels
