What the role is:
• The job holder leads the Screening Administration team within the People Services branch.• He/she supports the Deputy Director in driving the overall strategic direction for the team, manages the resources and operation needs of the team to achieve the service level and performance.• He/she handles the administration of MHA-wide HR exercises such as Annual Declaration Exercise, Annual Security Declaration, and Credit Screening Exercise.• He/she handles the processing of annual and ad-hoc financial declarations, seeking continuous improvements to the processes.• He/she handles screening requests from HTDs for various HR processes, such as hiring of temporary staff and interns, awards, and recruitment.• He/she also handles customisation requests for Letter of Employment and issuance of notification letters such as MBL, MJR, PTLS, etc.
What you will be working on:
Key responsibilities• Leads the Screening Administration team in:o Annual and Ad-hoc Financial Declarationso Annual and Ad-hoc Security Declarationso Annual Credit Screeningo Security Screenings for HR processes such as hiring of temporary staff and interns, sponsorship/scholarships, awards, etc.o Customisations of Letter of Employmento Issuance of notification letters, such as MRJ, MBL, PTLS, etc.• Plans and sets the development of the Screening Administration team, introducing use of automation and practices to improve processes.• Responsible for the performance reporting of the team to the relevant parties (i.e. management and stakeholders)• Addresses issues and queries as the Subject Matter Expert (SME) for financial declarations and screening matters• Establishes and builds strong collaborative relationships with external parties such as PSD, and screening agencies (e.g. ISD, CPIB, etc,), HTDs and other internal branches within HRSC• Reviews existing policies and processes to improve processing• Determines and manage resources to meet the service standards and ensures consistent quality service delivery• Develop of Standard Operating Procedures (SOPs) to ensure the smooth operations of the team• Reviews and refines processes and policies to increase efficiencies• Manages and handles escalated or priority cases including complaints, errors and lapses cases that involved the team member under the job holder’s charge• Supervises a team of 6 staff• Mentors and coaches team members, takes care of the personal well-being and career development of the officers in his team.• Responsible for the recruitment for the team
