Job description

The Manager supports the Directors and Heads of Department in leading, managing and coordinating administrative and operational projects within the Allied Health Division/Departments. He/she is also responsible for assisting the Directors and Heads of Department in meeting key result areas which may include clinical excellence, service excellence, operational excellence, manpower development, division collaboration, training and development, career and competency, strategy and performance etc.

Responsibilities

  1. Manage the design, implementation, monitoring and evaluation of administrative and operational initiatives, projects and processes in the Division/Departments.
  2. Organise events, programmes, talks, workshops and symposiums etc. for Division/Departments.
  3. Manage cross departmental and multidisciplinary teams to drive and execute operational projects.
  4. Provide liaison support for internal and external parties involved in business and strategic service projects and patient services for the Division.
  5. Support the management and monitoring of the Division’s Key Performance Indicators assigned in portfolios.
  6. Analyse and integrate data, information and reports, monitor and manage improvement initiatives.
  7. Support the management and reporting of departmental budgets, including CAPEX, OPEX and manpower training budgets.
  8. Support Directors/Heads of Department to ensure optimum utilisation of resources and capacity to meet demands in Allied Health services.
  9. Support Directors/Heads of Department in developing, implementing and monitoring of hospital guidelines, departmental/division policies and procedures to ensure provision of quality services.
  10. Support Directors/Heads of Departments in developing strategic work plans in line with the Hospital/Division’s goals.
  11. Support the implementation of Allied Health manpower strategy in the areas of:
  1. Manpower recruitment and retention
  2. Staff engagement and staff motivation
  3. Capability building
  4. Manpower resource allocation and deployment
  1. Arrange and coordinate meetings and other official engagements for Division/Departments.
  2. Prepare necessary materials and slides for Division/Department meetings and disseminate them to all relevant stakeholders in a timely manner.
  3. Record minutes/take notes of Division/Department meetings and follow up on MA.
  4. Plan systematic and easily accessible filing system for portfolio and meeting materials.
  5. Perform any other duties as assigned by supervisor or management.

Requirements

  1. Degree preferably in Allied Health/Health Sciences
  2. Good working knowledge in MS Office
  3. Good communication and interpersonal skills
  4. Proactive, meticulous and possess initiative
  5. Able to work efficiently and independently
  6. At least 6 years of experience in administration/project management, preferably in a health-related industry
  7. Experience in healthcare, hospital operations, service-related industries or human resources preferred
  8. Experience in managing a team
