What the role is:
As a detail-oriented professional, you will oversee administrative functions and records management operations, ensuring efficient systems and comprehensive support across the agency.
What you will be working on:
Your responsibilities include:-Manage Office Space Planning and Lease Administration: Optimise workplace space utilisation through strategic seating arrangements to support evolving business requirements; Oversee office lease management, including renewal processes and compliance with lease terms; Coordinate space planning initiatives to ensure efficient use of office premises;Workplace Facilities Management: Oversee office facilities management, including maintenance, operations and vendor relationships, to maintain optimal workplace conditions while ensuring compliance with prevailing safety and regulatory requirements; Manage all procurement, financial and budgeting activities for administration function;Records Management: Liaise with National Archives of Singapore (NAS) on all records management and file plan matters; Execute records management clean-up initiatives and maintenance; Monitor proper filing and documentation compliance.Sustainability: Monitor and analyse utility consumption (electricity and water); Prepare sustainability data for Annual Report disclosures; Render support to Green Team on their Sustainability activities;Project Participation: Participate in cross-division projects to contribute to the organisation's strategic objectives; Any other duties and ad-hoc duties as assigned.
What we are looking for:
Experience and Expertise: Minimum 10 years of related working experience in public sector facilities management and record management; Knowledge of government policies and procedures, record management and sustainability reporting; Experience in working with facilities management vendor and sustainability reporting; Basic knowledge of annual budgeting, finance and procurement will be advantageous.Communication and Interpersonal Skills: Strong interpersonal, communication, and writing skills, with the ability to engage effectively with stakeholders at all levels, from senior management to staff; Self-driven and a positive working attitude.Analytical and Technical Skills: Strong critical thinking and analytical skills especially in data analysis. Proficient with MS Word, Excel and PowerPoint and experience with data analytics and visualisation tools, with a preference for familiarity with Tableau. Familiarity with Government Instruction Manual and Workday financial systems.Personal Attributes: Resilient to time pressure and work demands, with a creative flair for problem-solving and innovation.
