RESPONSIBILITIES
- This position is for Institute of Innovation & Entrepreneurship (IIE).
- Financial Management and Analysis.
- Lead budgeting, forecasting, and day-to-day financial operations.
- Ensure timely and accurate financial reporting and expenditure control.
- Conduct financial and performance analysis to inform strategic decisions.
- Compliance, Grant, and Policy Oversight.
- Ensure compliance with SMU's financial policies and grant requirements.
- Manage internal audits and liaise with auditors.
- Review and refine administrative, finance, and procurement procedures.
- Advisory, Training, and Operational Support.
- Provide guidance and training on financial and administrative matters.
- Proactively identify and resolve operational issues.
- Build internal capabilities through process knowledge and support.
- Corporate Reporting and Secretariat.
- Coordinate internal and external reports to senior leadership and stakeholders.
- Provide secretariat support for management meetings, including scheduling, documentation, and action tracking, in particular, ASEAN University Network University Innovation and Entrepreneurship Committee.
- Maintain central records of reports, meeting outcomes, and decisions.
- IT and Office Administration
- Oversee office operations, facilities, and procurement.
- Manage IT asset inventory and coordinate with IITS on technical support.
- Explore and implement integration of digital tools and AI solutions to enhance operational efficiency.
- HR Operations and Administration
- Manage HR-related administrative processes for both staff and student hires, including recruitment, onboarding and offboarding, and liaising with central HR as required.
- Track employment contracts and ensure timely submission for contract extensions.
- Provide advisory on suitable formats of engagement (e.g. full-time, part-time, internship, project-based) based on programme and operational requirements.
- Other duties as assigned.
QUALIFICATIONS- Degree in accountancy, finance, business or management, with at least 5 years of relevant working experience.
- Strong proficiency in budgeting, forecasting, financial analysis, and variance tracking to support strategic planning and decision-making.
- Hands-on experience with financial systems and tools (e.g., SAP, advanced Excel), and the ability to work with large datasets efficiently.
- Solid understanding of financial management principles, including grant administration, compliance, and regulatory reporting.
- Skilled in preparing financial reports and interpreting data from internal systems to generate actionable insights.
- Demonstrated ability to explore, implement, and optimise digital tools—including emerging AI applications—to drive operational improvements.
- Proven track record in managing cross-functional operations and leading process streamlining or transformation initiatives.
- Experience in HR operations and varying engagement formats.
- Excellent communication and stakeholder engagement skills—verbal, written, and presentation.
- Strong organisational and project management abilities; able to manage multiple priorities effectively.
- Detail-oriented team player who collaborates well and contributes to a positive team culture.
- Able to perform under pressure with minimal supervision, demonstrating initiative, ownership, and a sense of urgency.
- Values integrity, humility, and authenticity; brings a creative, solutions-oriented mindset with a focus on continuous improvement.
