1. Pre-Event Logistics Planning
- Liaise with event planners, clients, and production teams to understand logistical needs
- Develop detailed logistics plans covering timelines, loading schedules, routes, and delivery checkpoints
- Identify and coordinate equipment requirements (e.g. staging, AV, lighting, booths, printed materials)
2. Transport & Vendor Coordination
- Schedule and manage transportation of materials to/from venues (local and international)
- Engage and supervise third-party logistics providers (3PLs), customs agents, freight forwarders, and rental vendors
- Arrange vehicle bookings, manpower, rigging services, and lifting equipment (e.g. forklifts, cranes)
3. Customs & Regulatory Compliance
- Handle customs clearance for imported event equipment and materials (temporary or permanent imports)
- Manage ATA Carnet applications, permits for special equipment, and ensure all items are compliant with local regulations
- Prepare and submit documentation: packing lists, invoices, trade permits, delivery orders
4. On-Site Execution & Support
- Supervise loading/unloading operations at event venues
- Coordinate crew deployment for set-up and teardown
- Troubleshoot last-minute delivery issues, missing items, or equipment malfunctions
- Ensure safety protocols and venue rules are strictly followed
5. Inventory & Asset Management
- Maintain accurate inventory of event items: displays, booths, decor, AV gear, banners, etc.
- Track movement of reusable items across multiple events
- Manage warehouse storage, return logistics, and damage reports
- Handle loss/damage claims and asset insurance if applicable
6. Post-Event Operations
- Organize reverse logistics: collection, packing, and return of all equipment
- Coordinate post-event disposal or recycling of used materials
- Produce event logistics reports: delivery issues, damage logs, staff performance
- Conduct lessons-learned sessions to improve future operations
7. Team Leadership & Administration
- Lead a team of junior logistics executives, drivers, or warehouse assistants
- Train event crew on loading/unloading procedures, documentation, and safety practices
- Track logistics costs, negotiate with vendors, and support budget planning
- Manage logistics-related purchase orders and invoicing
