Job description

We are looking for a meticulous and proactive Senior Executive, Yacht Management Administration for a growing investment and asset management company with interests in maritime, logistics, and hospitality sectors. The Senior Executive will be responsible for providing comprehensive administrative support for yacht operations, including documentation, finance, logistics, crew and guest coordination, and compliance matters. The ideal candidate would have strong administrative experience and prior exposure to maritime or yacht operations.

Key Responsibilities


1) Administrative Support

· Maintain and update yacht documentation (flag registration, insurance, certificates).

· Track and renew crew certifications and medicals.

· Organize technical manuals, reports, and correspondence.

· Support with meeting agendas, minutes, and action follow-ups.

2) Operational Coordination

· Coordinate yacht movement logistics and regatta participation.

· Assist in voyage planning and seasonal itinerary preparation.

· Liaise with service providers, marinas, and agents.

· Manage maintenance and survey schedules.


3) Finance & Procurement

· Process invoices, quotes, and expense reports.

· Track yacht expenditures and reconcile budgets.

· Support procurement and delivery tracking.

· Help monitor monthly financials for assigned vessels.


4) Crew & Guest Support

· Arrange crew travel, accommodation, and onboarding.

· Maintain crew contact lists and rotation schedules.

· Assist in managing guest preferences, provisioning, and concierge needs.

· Prepare guest welcome packs, manifests, and cruise briefs.

5) Compliance & Safety

· Track regulatory deadlines and assist in HR support.

· Maintain documentation related to safety drills, inspections, and audits.

· Follow up on corrective actions from audits or surveys.


6) Client & Stakeholder Communication

· Handle routine updates, reporting, and client feedback.

· Prepare monthly status reports for owners.

· Serve as a liaison with vendors when required.

Requirements

· At least 3 years of relevant administrative experience.

· Prior experience in maritime or yacht operations is an advantage.

· Proficient in Microsoft Office (Excel, Word, Outlook).

· Familiarity with yachting or maritime terminology is a plus.

· Resourceful and ability to multi-task.

· Strong attention to detail and confidentiality.
