Overview
The jobholder works in collaboration with the Endoscopy Nursing Leads, supporting operational and administrative functions for the Endoscopy team. Responsibilities should be performed collegially with key stakeholders and are not exhaustive of the position's scope. The role requires adherence to NUHS core values, prioritizing patient care, and working closely with families, volunteers, and partner organizations. Additional duties may be assigned as needed.
Responsibilities
- Coordinate with facilities management, general services, IT, and other departments to ensure smooth operations in the endoscopy centre.
- Create and maintain charge codes and pricing for accurate billing, working with Finance and EPIC.
- Perform and follow up on bill reconciliations promptly to ensure accurate patient billing.
- Maintain endoscopy room allocation in EPIC.
- Assist with annual asset audits, inventory, and maintenance checks with relevant departments.
- Provide administrative support for corporate activities such as licensing, audits, and vendor site surveys.
- Assist in drafting and updating policies and procedures in SharedPoint (DMS).
- Create and update patient education materials, leaflets, and brochures.
- Maintain accurate nursing staff records, including personal and training information.
- Ensure timely submission of system access requests for new hires.
- Support procurement processes for medical equipment and consumables, including paperwork, vendor communication, and invoice issue resolution.
- Monitor and manage contracts for consumables and implants, including drafting necessary procurement documents.
- Maintain accurate records in the Peri-Op Inventory Management System.
- Assist in appointing Endoscopy Committee Members and organizing meetings, including scheduling, preparing materials, recording minutes, and following up on action items.
- Track KPIs and support national projects and quality initiatives.
- Support meeting arrangements and documentation, including uploading materials to SharePoint.
- Collaborate on planning and implementing new services or initiatives with relevant departments.
- Coordinate requests, project implementation, and progress monitoring for submission to corporate planning.
- Prepare budget justifications and work plans as required.
Requirements
- Bachelor’s degree or equivalent with at least 1 year of relevant experience.
- Experience in supervisory or management roles is preferred.
- Excellent service skills with strong attention to detail.
- Self-motivated, proactive, resourceful, and able to work in a fast-paced environment.
- Hands-on problem-solving skills and strong leadership qualities to lead a team.
- Team player with interpersonal skills to build good relationships with the Nursing team.
