Job Responsibilities
Effective management of vessels through monitoring vessel’s movements and cargo transfer operations, ensuring that voyages are performed efficiently and costs are minimized.
- Assist Senior Operations Manager and Chartering Managers in managing voyage costs and controls.
- Update IMOS and prepare all documentation, including invoices, demurrage statements, correspondence on PNI cases, bunker purchases, accounts receivables, and payments.
- Monitor reports from ships and analyze time charter equivalent variations.
Operational Tasks
- Update IMOS system daily.
- Communicate with Masters and brokers regarding voyage orders, cargo stowage plans, port restrictions, etc.
- Relay information to charterers, owners, ports, and agents.
- Appoint and monitor agents’ work related to vessel port entry/exit and other arrangements.
- Arrange estimated port disbursements prior to vessel arrival.
- Manage bunker requisitions, chemicals, and fresh water supplies in advance.
- Upload arrival, departure, noon reports, and SOF into IMOS.
- Calculate laytime and coordinate with charterers/brokers.
- Monitor vessel downtime and upload data into IMOS.
- Provide bi-weekly itineraries.
- Send freight invoices within 2 working days.
- Gather information on main ports in the vessel's area of operation.
- Check details on special cargos and port planning.
- Prepare and update invoices in IMOS.
- Process payments for chemicals, fresh water, and other services.
- Follow up on outstanding demurrage, AWRP, freight taxes, etc.
- Handle PNI claim payments.
- Prepare and release physical original Bill of Lading (OBL).
Requirements
- Minimum 2-5 years of relevant experience in a tanker or dry bulk owner/operator setup.
- Strong command of English, both verbal and written.
- Excellent communication and coordination skills with the ability to multitask.
- Detail-oriented with an analytical mindset.
- Investigative nature.
- Team player.
- Degree or diploma in Maritime Studies.
