Yayasan MENDAKI seeks a Senior Executive Officer for a 2-year contract, responsible for developing IT solutions and managing systems monitoring and vendor relations. The ideal candidate should have experience in IT project management, cloud services, and financial ERP systems, with strong interpersonal skills and the ability to work independently. This role involves significant interaction with stakeholders and the opportunity to lead digital transformation efforts.
Job Summary
The Senior Executive Officer (2 year contract) supports and reports to the Head of Department (HOD) in developing and implementing digital and information technology solutions for the organisation. He/she is responsible for managing related tasks including procurement, involvement in projects / CR implementation and events support implementation.
The ideal candidate will have a strong background in IT Project Management skills with a good knowledge with business process re-engineering and the ability to support an end user environment.
The candidate must be familiar with helpdesk support services, network infrastructure, cybersecurity compliance and “Software As” a Service.
Someone with strong experience in implementing and supporting the financial ERP and CRM system is a plus.
The incumbent is expected to work between 8:30 a.m. to 6:00 p.m. on weekdays. He/she is largely expected to work in an indoor environment, although he/she may be required to travel out of the office to attend events and meetings.
Key responsibility areas
Systems Monitoring and Management
The candidate should have knowledge on commercial cloud services monitoring or have done migration from on premises to the commercial cloud.
The candidate should have deep knowledge of Microsoft Dynamics 365 and Customer Relationship Management (CRM) both in all technical and functional areas with strong knowledge in system integration.
Work and monitor to ensure the existing and current system applications such as CRM (CCIS), Corporate Website and Human Resource Information (HRiQ), eProcurement, DocuSign, CRM (Salesforce) systems and solutions operate effectively and efficiently.
Work and resolved all IT Helpdesk applications tickets are follow up, closed and resolved daily.
Work and submit all applications vendor payment are raised on time within the BC systems for Head of Department (HOD) approval.
Work and monitor admin access for software subscriptions
Work and monitor to ensure vendor support services are within the agreed service level agreement.
Identify system enhancements and propose solutions to HOD and management team and liaise with vendors to execute enhancements.
Provide inputs and draft Standard Operating Procedures for DIT.
Provide onsite support to satellite office if required.
Project Planning and Management
Understand MENDAKI, Digital Transformation and Roadmap.
Understand the software development life cycle.
Gather and translate user requirements into a highly users requirements specification, document technical specification, prepare the necessary tender documents for Manager, HOD approval.
Request for Proposal, Invitation to quote, Invitation to Tender.
Drive, document and plan project activities including project timeline for projects and change request (CR) and solution journey for sharing and updates to HOD and management.
Mapping and documenting interfaces between legacy and new systems.
Drive and execute Project / CR implementation and ensure all deliverables are documented, sign off with proper filing.
Provide user training and user manuals to users of the new system.
Present at MENDAKI meetings or relevant meetings if required.
Deliver and set up DIT devices/resources at designated MENDAKI offices, Satellite Centres or event locations if required.
Vendor and Contract Management
Manage contracts’ documentation and vendor relationships.
Manage vendors’ deliverables and service level agreements.
Responsible in contract renewal for services under the Application Tower which includes, HRiQ, CCIS and Corporate Website, eprocurement, salesforce, DocuSign are on time for HOD approval.
Assist and supervise when vendors carrying out deployment or development tasks.
Financial Planning and Management
Support Finance in the Annual / Mid Term department’s forecasting and budgeting activities.
Responsible to support HOD for DIT department budget planning and activities.
Responsible for monitor budget outcomes to ensure proper utilisation and accounting of resources.
Involve and Participate in Yearly stock take exercise.
Others
Any other duties as assigned by the Manager and HOD.
Requirements
Degree in Information Systems, Computer Science, or equivalent from any recognised institution
5 years of ERP Financial experience / Customer Relationship Management experience preferred.
Experience in Commercial Cloud services, preferably Azure, AWS Cloud platform is a plus.
5 years with strong Project Management experience preferred with ability to lead and drive Independently.
Good interpersonal skills and ability to manage stakeholders across different levels.
Creative and analytical thinking ability
Excellent organisational and time management skills with the ability to work with various stakeholders in a fast-paced environment.
