JOB DESCRIPTION

Team Administrative Support and procurement

  • Provide full spectrum of administrative support for the growing team
  • Source and maintain office supplies
  • Arrange procurement and drive PO process with relevant internal teams
  • Maintain proper procedures for internal audit requirements.
  • Be familiarized with internal processes and approval matrix in general

Travel and Logistics Management:

  • Support travel requests and logistics, including flight booking, visa applications and budget planning
  • Manage senior management’s calendar and business travels planning.
  • Support team internal calendars and meetings
  • Support external meeting requests and logistics, e.g. event planning and venue booking.
  • Support conferences and events including pass / delegate arrangements, meeting schedules and coordination with external parties.

Document Management

  • Maintain and manage access for document sharing
  • Arrange and manage document filing and maintain proper records
  • Co-ordinate legal and external parties on document access authorizations and ensure we adhere to all relevant policies, procedures and audit requirements.

Team Project Coordinator

  • Support the team in project coordination activities
  • Coordinate the set up of Network events, conferences, workshops, etc… for the team
  • Provide ad hoc support per requests
JOB REQUIREMENTS
  • Bachelor’s degree or equivalent
  • 8-10 years of relevant experience, preferably in MNC.
  • Strong interpersonal and communication skills, and able to work within various internal and external parties.
  • Good computer skills and proficiency in MS Office and common office applications.
  • Independent, agile, highly efficient with good multi-tasking and problem-solving skills.
  • Organized and detail-oriented, yet able to work under pressure.
