Responsibilities:
- Prepare materials and presentations for meetings, including business development discussion, ensuring all necessary documentation is provided.
- Conduct simple research and efficiently organize data for the creation of reports and presentations.
- Prepare agendas, take accurate meeting minutes, and distribute follow-up action items.
- Perform administrative support, including managing calendars and expenses claims for the C-Suites/Top Management.
- Manage travel arrangements including flights, visa applications, ground transportation, accommodation, dining, and other activities (for APAC Team).
- Handle expat management such as accommodation, schooling, vehicle, and visa matters.
- Document management including printing and filing.
- Organization of events in Singapore and other APAC countries.
- Other ad-hoc duties as assigned.
Administration:
- Act as a liaison between staff and IT department relating to IT services and issues logging.
- Manage the office extension line.
- Manage office equipment and vendor management, including contract renewals.
- Handle the procurement of goods and services (e.g., furniture, IT equipment, etc.), and management of inventory and assets (local & overseas).
- Manage travel arrangements including flights and accommodation (SEA Office).
- Assist in the coordination of any company or staff-related events.
- Cover reception duties when necessary and other ad-hoc duties as assigned.
