Job Description

Responsible for administrative support of the Principal Investigator (PI) in the Signature Research Programme in Health Services & Systems Research, including but not limited to calendar management, travel arrangements, procurement, assisting with staff recruitment, office management and other associated tasks as directed by the supervisor.

  • Manage the PI's calendar efficiently, providing timely reminders for important meetings, deadlines and urgent matters.
  • Assist the PI with administrative tasks such as tracking and updating publications, CV, certifications, licenses, memberships, appointments, local claims, etc., for the PI.
  • Coordinate overseas travel arrangements for the PI, including preparing itinerary documents and processing post-travel claims.
  • Process purchase requests/purchase orders (PR/PO) as directed by the PI.
  • Handle invoices and other payment matters in accordance with procurement/finance guidelines.
  • Coordinate requests for quotations and liaise with vendors and create new vendor accounts for quotations and invoices received.
  • Assist with processing contracts for services as required.
  • Provide support in new staff hiring related matters such as raising new job requisition, completing external funding source form and other hiring forms, and facilitating new staff onboarding such as laptop purchase, seat assignment, cabinet key distribution, etc.
  • Track software licenses and manage software purchases.
  • Perform other administrative tasks as assigned by the PI.
Job Requirements
  • Bachelor's Degree or equivalent in a related discipline.
  • Entry-level candidates or Diploma holders with at least 5 years of relevant experience may also be considered.

  • Meticulous, well-organised and able to multi-task effectively.
