A leading university is seeking an administrative support staff for the Office of the Provost. The role involves managing office operations, supporting financial processes, and ensuring compliance with university guidelines. Candidates should possess a university degree and have at least 2 years of relevant experience, along with strong organizational and communication skills.
Job Description:
Reporting to the Associate Director, the incumbent will assist with the overall day-to-day operations of the Office of the Provost efficiently and effectively in compliance with the University policies and guidelines.
Assist with management of Provost’s Chair funding, Research Support for Office Bearers, collation of submissions and payment to Copyright Licensing & Administration Society of Singapore (CLASS)
End-to-end processing of payment and raising of journal for internal fund transfer & reimbursement
Procurement and management of stationery, office and pantry supplies, and equipment for general office operations
Management of office assets including capitalisation, documentation, verification, replacement, retirement, secure disposal, and maintenance matters
Administration of office phone system, network copiers and visitor accounts
Assist with onboarding and offboarding matters for PVO staff including setup of workspace and systems access
Assume supporting roles for office operation matters such as assistant fire warden, first-aider, co-unit incident commander, personal data protection delegate, document sharing and archival systems co-administrator
Assist with management of office facilities including key press and shared space such as storeroom and pantry as well as allocation of workspaces
Assist with advisory of University guidelines and development of department SOPs
Any other duties and projects as and when assigned
Qualifications
A good university degree in any discipline
At least 2 years of work experience
Organised, meticulous and resourceful in problem solving
Self-driven with ability to multi-task in a fast-paced environment
Good interpersonal, written and communication skills
A team player with positive work attitude and ability to work independently
Working knowledge in general IT and MS Office applications
