RESPONSIBILITIES
- This position is for SMU Executive Development (SMU ExD).
- Office & Procurement Management (70%)
- Oversee daily operations of the ExD office, including supplies, equipment, and facilities.
- Support administrative matters such as finance and procurement.
- Prepare SAP purchase orders, process reimbursements, and ensure vendor payments are timely.
- Ensure procurement compliance with policies and legal requirements.
- Liaise with procurement for sourcing services and supplies.
- Monitor and track budgets, invoices, and expenses; ensure adherence to policies.
- Manage and report on the department's budget and procurement activities.
- Support month-end and year-end financial closing, audits, and reconciliation.
- Collaborate with other departments for vendor payments and process streamlining.
- Maintain organized records and databases.
- Participate in system implementations and upgrades.
- Serve as a contact point for internal and external stakeholders.
- Perform other office management duties as assigned.
- Data Management and Process Improvement (30%)
- Identify user needs and establish data management processes.
- Design, maintain, and improve database performance and security.
- Generate reports and insights from data.
- Advise on database capabilities and policies.
- Coordinate system design, deployment, and process automation.
- Participate in enterprise database planning.
- Perform other duties as assigned.
QUALIFICATIONS
- Diploma or Degree with 3-5 years of relevant experience in office management or executive support, preferably in higher education or executive training.
- Experience in finance and business administration is preferred.
- Proficiency in database management, procurement, and administrative software.
- Familiarity with MS Office, SAP, Prophix; experience with Power BI is a plus.
- Strong organizational skills and ability to multitask.
- Understanding of finance and procurement processes.
- Resourceful, detail-oriented, and able to meet deadlines.
- Excellent communication skills.
- Ability to work independently and in a fast-paced environment.
- Immediate availability is preferred.
