Job summary

A leading staffing services company in Singapore is seeking an experienced Event Manager to support its premier annual flagship event in Asia Pacific. The successful candidate will manage logistics, sponsor relationships, and ensure successful event execution. Ideal candidates will have 8+ years of event management experience, strong project management skills, and advanced knowledge of technology platforms involved in large-scale events.

Qualifications

Job description

Responsible for supporting the Company’s annual flagship event in Asia Pacific, Japan and Greater China, this event is the premier destination for the best and brightest minds in IT to learn, experience the future of technology, build community, and celebrate one another. The event is delivered in-person in Australia and online via a live broadcast. The successful candidate must have significant event management experience in large scale conference, preferably 8+ years, in an enterprise organisation along with exceptional interpersonal skills.

Event areas could include but not limited to:

Sessions, exhibition, sponsorship, registration, technology systems, marketing, measurement and reporting, stakeholder engagement, ancillary events, logistics and operations, finance and budget management, timeline management ..etc.

Specific Role Priorities:

Co-located programs (taking place under the flagship event)

  • End-to-End strategy and execution
  • Oversee the execution of audience acquisition strategy
  • Program invitation and registration process
  • Manage logistics, including but not limited to venue, food and beverage, travel, temporary staff, agenda, rehearsal schedules, floor plans, social activations.
  • Manage the production elements of any needed content including content for broadcast
  • Oversee program budget, ensuring accurate reporting and diligent tracking of expenditure
  • Produce event timeline and execute project deliverables to timeline
  • Provide high level communications, presentations/briefings and regular reporting to stakeholder·

Event Technology

  • Supporting the Event technology team on all platform requirements including registration, mobile app, meeting scheduling, lead scanners and tracking, badging, reporting, survey, exhibitor management system etc.
  • Responsible for weekly reporting on registration targets
  • Must have working knowledge of Rainfocus registration platform or similar platform for large-scale event technology requirements

Sponsorship

  • Lead the development of sponsorship offerings including sponsorship prospectus and additional marketing promotional opportunities including supporting agencies in pitch calls
  • Manage revenue targets, target database and generating demand
  • Ensure sponsors adhering to rules, regulations and T&Cs and ensure execution of sponsorship (proof of performance)
  • Stakeholder management
  • Sponsorship sales reporting

Exhibition

  • Manage the physical presence of approximately 80 internal or external sponsors
  • Manage and understand sponsorship strategy and briefing documents for internal and external sponsors
  • Brief into external agencies for execution and bringing the concept to life
  • Work through approvals including brand and budget and carry through to execution
  • Considerations for technical requirements, merchandise, brand, passes, creative, activations, ..etc

Content

  • Support content programs, including but not limited to live broadcast, main stage keynotes, sessions in satellite stage in exhibition and speaker meeting program
  • Manage and understand content briefs and production requirements for relevant content agenda’s
  • Help coordinate production schedules and timelines
  • Support speaker briefings and rehearsal schedules
  • Support project timeline and deliverables required for the speaker meeting program, including the launch of the pre-event scheduling meeting platform
  • Support process for managing On-Demand content requests and timeline of deliverables

Requirements:

  • Solid project management capabilities. Must have the ability to juggle multiple, concurrent demanding initiatives and adhere to strict timelines
  • The ability to work independently and also collaboratively in a hybrid work environment across multiple time zones (Management and stakeholders are of a global nature)
  • Execute on event goals and objectives that are aligned with relevant business priorities and align by delivering measurable results
  • Excellent verbal and written communication skills at all levels of stakeholders including senior executives
  • Developing and managing strong relationships with cross functional communities such as marketing, partner, sales, engineering, product, corporate communications, finance and legal to ensure event objectives are met
  • Desire to work in a regional, fast-paced, rapidly changing environment
  • Management of agency/supplier relationships
  • Advanced knowledge of Microsoft Office
  • IT/Technology background would be desirable
