Job Overview
We are seeking a capable and detail-oriented Commercial & Contract Executive to join our team, supporting shipyard projects from tender to contract execution. This role involves cost estimation, tender preparation, vendor coordination, and post-award contract management, with occasional travel to regional sites.
Key Responsibilities
Tender & Cost Estimation
- Review tender documents and technical specifications to prepare structured cost breakdowns.
- Issue RFPs/RFQs to vendors for equipment and materials; coordinate clarifications as needed.
- Evaluate vendor quotations to ensure compliance with tender specs and competitiveness.
- Compile and update cost components (forex, material, labour) for estimate build-up.
- Prepare detailed cost sheets for internal review and timely submission.
- Identify critical items/systems and conduct risk assessments.
Coordination & Submission
- Collate inputs from various internal teams to ensure a complete, compliant, and timely tender package.
- Assist with tender review meetings and prepare cash flow projections if required.
Contract Execution & Management
- Support contract discussions and negotiations with clients and vendors.
- Handle procurement of key equipment and monitor delivery schedules and milestones.
- Liaise with shipyard teams to ensure accurate and timely equipment delivery.
- Oversee contract management for awarded projects, including:
Budget tracking
Invoicing based on milestones
Managing guarantees (if applicable)
Handling contract variations
Reporting & Post-Award Activities
- Generate post-mortem reports and lessons-learned documentation for completed projects.
- Perform other tasks as assigned by management.
Requirements
- Diploma or Degree in Engineering, Business, Maritime Studies or related field.
- Minimum 3 years' experience in the marine or shipyard industry.
- Proven experience in costing, tender preparation and quotations.
- Strong proficiency in Microsoft Excel, Word, and PowerPoint.
- Excellent communication and interpersonal skills.
- Strong commercial acumen and attention to detail.
- Self-motivated, organised, and a team player.
