Job description:

Role & Responsibilities
  • Work closely with the Senior Manager to provide comprehensive secretarial and administrative support to the CE office.
  • Manage active and dynamic calendar, coordinating internal and external appointments seamlessly.
  • Handle sensitive and confidential materials with utmost discretion, ensuring a high level of confidentiality at all times.
  • Assist in travel arrangements include booking of flights, accommodations, and transportation liaising with travel agencies; and obtain approvals (including reimbursement submission) in line with guidelines.
  • Manage meeting room booking, facilitate meeting set-up and coordinate logistics (e.g. getting refreshments, lunch, tea breaks).
  • Support ad hoc projects ensuring effective follow-through and tracking the process to completion.
Requirements
  • Diploma or equivalent with at least 3 years of administrative or executive support experience preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills with the ability to prioritize and multitask.
  • Strong written and verbal communication skills.
  • High degree of professionalism, discretion, and confidentiality.
  • Possesses good interpersonal skills, proactive attitude, team spirit, and willingness to "roll up sleeves" when needed.
  • Comfortable working with senior stakeholders and under time pressure.
