A leading company in Singapore is seeking a Senior Admin Executive to ensure smooth daily administrative operations. The role involves managing office functions, coordinating travel, and overseeing facility maintenance. Candidates should have at least 5 years of relevant experience and a diploma in Business Administration. Strong organizational and communication skills are essential. This position requires working in Ang Mo Kio but may involve travel to other sites as needed.

Job Summary
The Senior Admin Executive is responsible for ensuring smooth daily administrative operations. This includes managing office functions, coordinating logistics, and overseeing facility maintenance and compliance. The role also provides vital support to both operational and HR activities across multiple locations.
Job Duties and Responsibilities
Travel & Logistics:
• Arrange travel, hotel accommodation for senior-level staff and visitors (if required).
• Coordinate repatriation travel for foreign employees.
• Manage visa applications for business travel (if required).
• Prepare letter of invitation for visitors or oversea employees.
Mail & Courier Management:
• Coordinate courier services between Yishun and Ang Mo Kio offices.
• Collect, sort, and distribute incoming mail for Ang Mo Kio internal staff.
Office Supplies & Inventory:
• Manage procurement of office supplies and stationery across all locations.
• Oversee photocopier toner and waste toner replacements.
• Monitor and replenish pantry for all location.
• Coordinate with the vending machine vendor on all related matters.
Employee Services & Access:
• Administer employee access cards (issuance, record updates, replacements, and termination).
• Manage name card and locker key issuance for employees.
• Coordinate uniform and T-shirt distribution.
• Update and maintain public holiday calendars via email.
System Administration:
• Manage user accounts in Egencia and Concur (creation and deletion).
Training & Events:
• Coordinate external training registration and maintain training records.
• Support logistics and planning for HR and company events/functions.
Facilities & Maintenance:
• Act as the contact person for building management
• Oversee general office maintenance and workspace setup for new hires.
• Coordinate office renovation and relocation projects.
• Manage office cleaning vendor, including service schedules and performance for all sites.
• Arrange and monitor regular carpet cleaning services.
• Manage building notifications and communications from the landlord.
• Coordinate ordering and installation of office nameplates.
Car Park Administration:
• Administer season parking applications, updates, and terminations for Ang Mo Kio’s
employees.
Health, Safety & Compliance:
• Serve as the company’s appointed Fire Warden and act as a key contact point during
emergency situations.
• Support Office risk management and compliance-related matters.
Requirements
• Minimum 5 years of experience in HR Admin or Office Administration
• Min Diploma in Business Administration
• Proven experience in administrative or office management roles.
• Independent, resourceful and a team player.
• Strong organizational and coordination skills.
• Good interpersonal and communication abilities.
• Ability to multitask and work in a fast-paced environment
• Proficient in MS Office Suite
• Based in Ang Mo Kio Office, however due to work requirement, he/she will be required to travel
to different sites whenever necessary.
