Job description

To provide administrative support and offload administrative workload from a team of therapists.

Responsibilities:
1. Office Administrative:
  • Handle phone enquiries in office, GYM counter and DRC counter.
  • Manage Therapy Services enquiries.
  • Take minutes during departmental meeting.
  • Photocopy forms and keep regular supply of forms.
  • Book / set up room and other equipment for meetings and trainings.
  • Report faults.
  • Take charge of Fire Drills.
  • Distribute, send and collect letters.
  • Administer filling matters.
2. Operations Administrative:
  • Enter data for Modified Barthel Index (MBI) and Hospital Occurrence Report (HOR).
  • Update contact list and digital board in ward.
  • Oversee billing matters and manual charging.
  • Process Senior Mobility Fund (SMF) application.
  • Support and coordination for departmental events.
3. Reports:
  • Generate reports.
  • Maintain monthly statistical template.
4. Inventory & Equipment:
  • Purchase, monitor and oversee preventive maintenance of equipment and inventory.
  • Maintain departmental stocks and inventory.
5. Staff Matters:
  • Monitor locum time-in, time-out and attendance.
  • Submit MCs, training certificates, training forms and other documents to HR/Finance on a timely basis.
  • Register BCLS certification, CME talks and staff engagement programs.
  • Activate therapists’ access for all required applications.
Requirements:
  • GCE “O” Level and above.
  • Minimum 2-3 years’ experience, preferable in a healthcare setting.
  • PC illiterate with proficiency in Microsoft Office.
  • Must be a team player.
  • Able to multi-task and work independently.
  • Strong analytical skills.
  • Excellent interpersonal skills in working with both internal and external stakeholders.
  • Comfortable in supporting big team and open office concept.
