A dormitory management company in Singapore is seeking a Security Operations Executive to ensure a safe and harmonious living environment for residents. Responsibilities include overseeing security operations, managing resident interactions, and ensuring compliance with safety regulations. The ideal candidate is proactive, people-oriented, and has a minimum of 3 years in security or facilities management. Knowledge of CCTV and biometric systems is preferred.
The Security Operations Executive is responsible for ensuring a safe, secure, and harmonious living environment for dormitory residents. The ideal candidate will be proactive, people-oriented, and capable of handling both operational and community-building responsibilities in a fast-paced environment.
Key Responsibilities:
1. Resident Management
a. Welcome new residents and assist with the check-in/out process.
b. Promptly address residents’ and or clients’ inquiries and concerns.
c. Organize and coordinate resident activities and events to promote a sense of community.
2. Security and Safety
a. Enforce security protocols, including logs, reporting and visitor policies.
b. Oversee daily security operations and outsourced security personnel.
c. Respond to emergency and mitigate situations.
d. Address safety hazards and highlight to Dormitory Manager.
e. Manage biometric and card-based access systems for residents and staff (both dormitory and work site).
f. Manage CCTV surveillance system for suspicious activities or breaches.
g. Respond to emergencies (fire, medical, civil unrest).
3. Administrative Duties
a. Manage dormitory records and documentation, including resident records, incident reports, and maintenance logs.
b. Coordinate room allocations with the Resident Management Team.
c. Email and telephone correspondence with clients and residents.
4. Vendor & Stakeholder Coordination
a. Manage contracts and performance of outsourced security and transport providers.
b. Coordinate shuttle schedules and routes for workers commuting to/from site.
c. Liaise with transport vendors to ensure punctuality and safety.
d. Monitor crowd control during peak hours and ensure orderly boarding.
e. Liaise with government agencies (MOM, SPF, SCDF) and project stakeholders.
f. Ensure compliance with dormitory licensing and site safety regulations.
5. Conflict Resolution
a. Mediate conflicts among residents and address behavioural issues in a fair and respectful manner.
b. Ensure a peaceful living environment by setting and enforcing dormitory rules and policies.
6. Communication
a. Maintain clear and open communication with residents, staff, and the Management.
b. Keep residents informed about important updates, events, and policies.
c. Use various communication channels, such as email, bulletin boards, or WhatsApp.
7. Community Building
a. Foster a sense of community and inclusivity among residents.
b. Organize and facilitate social and educational events to encourage resident engagement.
8. Compliance
a. Ensure compliance with in-house rules and FEDA regulations.
9. Problem Solving
a. Address any issues or challenges that may arise within the dormitory, such as maintenance emergencies or resident disputes.
10. Data Management
a. Keep records of dormitory occupancy, maintenance requests, and resident feedback and provide reports to Dormitory Manager.
11. Any other duties as assigned by the Dormitory Management.
