Main Duties and Key Responsibilities
1. Manage and coordinate calendars for the General Manager, including scheduling meetings and appointments.
2. Handle confidential correspondence, emails, and phone calls, ensuring prompt and
professional responses.
3. Check documents submitted by various departments before submitting them to the General Manager for approval.
4. Prepare reports, presentations and documents for meetings and business reviews.
5. Compile, transcribe, and distribute minutes of meetings.
6. Schedule internal and external meetings on behalf of GMs.
7. Assist in managing day-to-day business operations, including liaising with different departments and stakeholders.
8. Facilitate communication within the company to maximize workflow (e.g. distribute vital information, schedule presentations and plan for logistical needs).
9. Administrative duties like updating databases, filing, ordering stationary etc.
10. Liaise with PAs/Secretaries of the various camps.
11. Coordinate logistics and plan staff events together with the HR department.
12. Undertake any other tasks or duties as assigned by the General Manager.
Job Requirements and Qualifications
You should possess a Diploma or Private Secretarial Certificate with at least 1 to 2 years of relevant experience in a supporting role, preferably in a fast-paced, professional environment. Fresh graduate who expresses a strong interest in this position is welcome to apply.
You should be well versed in MS Office (Word, Excel, PowerPoint) and demonstrate good communication skills.
Develop and maintain a filing system.
Able to speak fluent English, and preferably a good spoken second language.
