The company is currently seeking a Personal Secretary to support the executive administrative staff and enhance productivity. As a Secretary, your responsibilities will include handling business errands, organizing ongoing business files, and collaborating with the administrative team to prepare the company meeting room for important meetings. You will also assist in creating outgoing correspondence. The ideal candidate should be a proactive individual who thrives in a fast-paced environment.Female candidates with previous Secretarial and Administrative experience are preferred.Key Responsibilities:- Facilitate communication between the manager and clients, demonstrating strong communication, organization, and relationship management skills.- Manage appointments and calendars efficiently to coordinate schedules, balancing the manager's availability with client preferences and prioritizing tasks.- Screen and coordinate meetings, as well as distribute correspondence promptly, identifying urgent meetings and addressing them promptly.- Handle requests and inquiries appropriately to maintain positive relationships with clients and stakeholders, prioritizing immediate issues while scheduling routine queries for later.- Manage the director's calendar and schedule meetings effectively to optimize time usage and ensure completion of important tasks.- Prepare minutes of meetings, documenting key discussions, decisions, and action items, and ensure timely follow-up.- Draft meeting minutes promptly and submit them to the chair for review before circulation to committee members.Requirements and Skills:- Possessing 3-5 years of Secretary experience demonstrates proficiency in organization, communication, and time management.- Familiarity with office management systems and procedures, including scheduling, document control, communication tools, and administrative tasks.- Proficiency in MS Office, particularly in creating reports, presentations, and communications.- Strong skills in preparing presentations and delivering them effectively.- Exceptional organizational and time management abilities to prioritize tasks, meet deadlines, and maintain a structured workflow.- Ability to multitask and efficiently manage multiple responsibilities.- Excellent verbal and written communication skills for clear information dissemination, relationship building, and effective collaboration.- Uphold discretion and confidentiality to build trust with colleagues and clients and adhere to privacy regulations.- Willingness to travel on business meetings, approximately 20%-25% of the time.- Availability to extend work hours when necessary.Job Type: Full-time, PermanentBenefits:- Cell phone reimbursement- Paid time offSchedule:- Day shiftWork Location: In personApplication Question:- Kindly share your expected salaryExperience:- Microsoft Office: 3 years (Required)- Minutes Preparing: 3 years (Required)- Office management: 3 years (Required)- Secretarial work: 3 years (Required)Willingness to travel:- 25% (Required)Location: Koundampalayam, Coimbatore, Tamil Nadu: Relocation or reliable commute is preferred.,
