Job description

Sales Support Assistant (Inst) is responsible for providing support to the Institution team by working closely and contributing towards meeting department goals. This person should be a team player and work well with other functions in the company. This person should enjoy interacting with external customers and in providing solutions & value through the service she/he brings to them. Opportunities this role offers include learning of the healthcare industry purchasing processes & requirements. Products knowledge and trend in Incontinence care.

You will play an essential role to:

  1. Order Entry and Verification
    Accurately enter customer orders into the system, ensuring all details are correct.
    Verify order information, including customer details, products, quantities, shipping addresses & delivery timing.
    Check for any discrepancies or errors in the order and address them promptly.
  2. Inventory Management
    Track stock levels and ensure sufficient inventory to fulfill orders.
    Coordinate with warehouse or logistics teams to ensure timely picking, packing, and shipping of orders.
  3. Order Processing and Fulfillment
    Generate invoices for customers and upload to their payment portals.
    Booking of delivery schedules & pallet collection with customers.
  4. Customer Service
    Handle customer inquiries and complaints related to orders.
    Provide information to customers on product availability, order status, and shipping timelines.
    Assist with order cancellations, returns, and exchanges.
    Follow up with customers to ensure scheduled orders are received and processed timely.
  5. Documentation and Record Keeping
    Maintain accurate records of all orders and transactions.
    Organize and file relevant documents, such as purchase orders, invoices, and shipping confirmations.
    Keep track and monitor blanket purchase orders balance.
  6. Other Tasks
    Price maintenance in system. Upload price changes.
    Provide sales team with updated sales report to facilitate sales tracking.
    Sample order / Donation order processing.
    Any other sales supporting / administrative tasks that may occur due to evolving business needs.

To be successful in this role, you will need to have:

  • Diploma in any business / Marketing / IT related field
  • At least 2 years of relevant working experience
  • Possess good interpersonal, communication (both oral & written) and proficient IT skills
  • Familiar with Microsoft Office Suites (Excel)
  • Responsible, completes task timely & accurately
  • Independent with high adaptability level, integrity and self-motivated
