JOB SUMMARY

The Sales & Reservations Executive is responsible and accountable for all activities pertaining to Reservations.

ACCOUNTABILITIES:

  1. Provide prompt service delivery in all aspects of reservations sales and booking cycle (e.g. phone sales, inquiry handling, turn-around response, and follow-through).
  2. Maintain knowledge of special rates/offers/promotions.
  3. Update rate levels, new rates, and promotions for all booking platforms.
  4. Process reservation inquiries from various channels.
  5. Process prepayments & deposits from guests or third parties.
  6. Accommodate and document special requests received.
  7. Ensure all reservations are thoroughly reviewed prior to the guest’s arrival.
  8. Manage “no show” / cancellation penalties and ensure accurate charging.
  9. Ensure charging for all pre-paid bookings is processed daily.
  10. Monitor room balancing on a regular basis and ensure inventories and availabilities are up to date in all channels.
  11. Constantly review room availability to maximise occupancy and revenues.
  12. Monitor pace of bookings and past, current, and future occupancy levels and rates.
  13. Oversee accuracy of room blocks, reservations, and group market codes.
  14. Perform daily shared tasks which include but are not limited to arrival report checks, reservations made yesterday, cashiering, and email replies.
  15. Collate and submit daily reports for internal use and vendors / partners.
  16. Monthly checks and submission of commission invoices across all platforms.
  17. Maintain flexibility to perform other duties and projects as required to support the Hotel’s overall business objectives.

QUALIFICATIONS:

  • Diploma in Hospitality or related field.
  • Minimum 2 years of experience in a similar capacity.

SKILLS:

  • Proven experience in reservations or related role within the hospitality industry.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to interact with customers, employees, and third parties.
  • Keen eye for detail to maintain accurate reservation records and ensure a seamless guest experience.
  • Proactive problem-solving attitude.
  • Proficiency in reservations systems and other relevant hospitality software.
