Job description

Key Responsibilities

  • Coordinate the deployment of outsourced safety personnel to client sites, including schedule planning and documentation.
  • Review and prepare tender documents for timely submission.
  • Track personnel timesheets and perform monthly revenue calculations.
  • Source, liaise with, and evaluate external vendors for specialized services.
  • Monitor staff attendance and leave, and assist in resolving site-related operational issues.
  • Handle vendor registration across various client and government portals.
  • Prepare and manage availability agreements and employment contracts for personnel.
  • Coordinate both in-house and external training programs with third-party training providers.
  • Manage course registrations, attendance lists, and operational logistics for training events.
  • Generate and issue sales quotations and invoices to clients.

Requirements

  • Diploma in Business Administration, Operations, or a related field.
  • Prior experience in sales coordination operational admin is preferred.
  • Strong administrative, communication, and coordination skills.
  • Proficient in Microsoft Excel, Word, and email communication.
  • Able to work independently and handle multiple priorities with accuracy
  • Must be able to communicate fluently in both English and Mandarin (spoken and written), in order to liaise with Mandarin-speaking clients.
