A leading company in the F&B sector is seeking a motivated Sales Assistant cum Office Administrator to support day-to-day operations, manage invoicing and inventory, and liaise with clients, particularly Japanese-speaking customers. The role requires proficiency in both Japanese and English, strong Excel skills, and effective organizational abilities. Candidates will also handle customer orders and support sales reporting to the Head Office in Japan, ensuring operational efficiency and smooth communication.
We are currently seeking a highly motivated and well-organized individual to join our team as a Sales Assistant cum Office Administrator.
This position plays a vital role in ensuring the smooth functioning of our day-to-day operations, particularly in relation to invoicing, inventory control, and internal coordination.
The successful candidate will be responsible for handling sales-related administrative tasks, maintaining accurate records, supporting order fulfillment, and generating sales and cost reports to improve operational efficiency and support decision-making.
Key Responsibilities:
Perform timely and accurate data entry of sales and administrative records
Monitor and update internal systems regarding sales and consumables including invoice tracking
Compile and file sales invoices for internal and external reporting purposes
Coordinate and follow up on customer orders and new requests
Liaise closely with the sales team by communicating customer requirements, constraints, and updates
Submit payment requests to the Finance Department upon verification of relevant documentation
Provide administrative and operational support to the Director as assigned
Requirements:
Proficiency in both Japanese and English, with the ability to communicate effectively with Japanese-speaking clients in the F&B sector for product proposals and sales coordination
Proficiency in Japanese is a must due to translator for a monthly international group meeting and reporting to the Head Office in Japan for example JLPT N1 or equivalent such as ability to read, type, converse
Advanced knowledge of Microsoft Excel, with the ability to record sales transactions and prepare monthly sales reports for submission to the Head Office in Japan
Working knowledge of meat product specifications and sales proposal techniques is highly preferred
Ability to perform basic budget-related tasks and payment requests, ensuring that all billing and balance verifications are completed in consultation with the accounting team
Strong organizational and time management skills, with the ability to work effectively under pressure
Demonstrated reliability and efficiency during standard business hours
