Job Description & Requirements

  1. General Administrative Duties
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Manage emails, respond to inquiries, and ensure timely follow-up.

2. Quotation Support

  • Assist in the preparation, issuance, and follow-up of quotations to customers.
  • Coordinate with internal teams and suppliers to gather accurate information for quotations.

3. Procurement and Supplier Coordination

  • Communicate with suppliers to obtain pricing, delivery schedules, and other necessary details.
  • Coordinate with the procurement team to ensure timely order placements and follow-ups.

4. Customer Support

  • Address and resolve customer inquiries and requests promptly.
  • Liaise with customers to provide updates on orders and service status.

5. Accounts and Finance Assistance

  • Support basic accounts-related tasks such as invoicing, payment follow-ups, and expense tracking.
  • Collaborate with the accounts team to ensure accurate record-keeping

6. Paperwork and Reporting

  • Prepare, review, and distribute reports and documentation as required.
  • Ensure compliance with company policies and procedures in all administrative tasks.

Requirements

  • Diploma or higher educational qualification in Business Administration, Sales, or a related field.
  • At least 1 year of relevant administrative experience in a professional environment.
  • Proficiency in Microsoft Office applications, particularly MS Excel and MS Word.
  • Excellent verbal and written communication skills, with strong interpersonal abilities.
  • Team player with a proactive attitude and willingness to learn.
