Job description

Key Responsibilities:

Tender Administration

  • Review tender documents to extract relevant requirements for distribution to relevant stakeholders for follow up actions
  • Assist in preparing Bill of Materials (BOM), filling up tender-related forms, and compiling complete tender submission documents.
  • Monitor tender timelines and coordinate with stakeholders to ensure submission deadlines are met.

Contract Management

  • Draft and prepare maintenance contracts in accordance with agreed terms.
  • Maintain contract records and track renewals or updates as required.

Leads Administration

  • Source through various portals to identify relevant leads and assigned out to the appropriate sales personnel
  • Ensure all incoming leads from various channels are promptly logged and assigned to the appropriate sales personnel

General Sales Support

  • Provide administrative support to the Sales Team to facilitate smooth day-to-day operations.
  • Ensure accurate and organized documentation of all sales and tender activities.
  • Liaise with internal departments and external parties as needed to support sales processes.
  • Guide Sales Team on file management and proper documentation practices and usage of sales toolkits

Requirements:

  • Possess at least a Local Diploma in relevant discipline
  • At least 2 years of relevant experience
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple deadlines and work in a fast-paced environment.
  • Good understanding of document management and version control.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with experience in document formatting and preparation.
