Job Title: Sales Admin & Product Coordinator
We are seeking a proactive and detail-oriented Sales & Product Coordinator to support our B2B corporate gift and merchandise operations. This role bridges sales support, marketing asset coordination, and product content management. You’ll work closely with sales reps, procurement, logistics, and marketing teams to ensure smooth operations, brand consistency, and timely customer service.
Coordinate and submit orders to suppliers based on confirmed sales orders. Ensure accuracy in product details, pricing, and delivery requirements. Maintain clear records of all supplier communications and proactively follow up to ensure timely fulfilment. Liaise with procurement or sales teams for any order clarifications.
Generate invoice and submit e-invoices on various platforms for delivered orders.
Collect and input sales leads from multiple sales reps’ emails into the CRM, organize, maintain and update all databases regularly.
Assist with tender submissions, vendor registration forms, and compliance documentation.
Manage inventory and logistics for marketing collaterals and product samples including proper in and out record of samples loan.
Coordinate with vendors and creative agencies for production of digital marketing assets.
Ensure newly completed orders are photographed, edited, and catalogued in Google Drive for marketing use.
Organize product sample displays in a presentable manner in the showroom.
Working with procurement to gather specifications and visuals to upload new products onto the company website and ensure SEO-optimized content.
Regularly update product content, specifications, and ensure SEO-optimized descriptions on the company website.
Maintain an organized digital asset library of product photos, categorized and labeled for easy retrieval.
Preferred with minimum O level or Diploma in Business Administration, Marketing, Design, Communications, or related field.
At least 1–2 years of relevant experience in sales admin, product or marketing coordination.
Proficient in Google Workspace (Sheets, Drive), basic photo editing tools.
Comfortable using CRM platforms and content management systems (e.g. Capsule, WordPress).
Organized, resourceful, and capable of juggling multiple tasks in a fast-paced environment.
Strong written and verbal communication skills.
SGD 2,800 – 3,400/month, depending on experience and skillset.
