Job description

This Sales Administrative Assistant position is central to the success of our General Trade pre-sales operations, ensuring the accurate and timely processing of orders, effective stock coordination, and precise reporting. Serving as a vital bridge between Sales, Purchasing, and Customers, this role manages bulk and event orders, oversees direct shipments, and addresses key account requirements with meticulous attention to detail. By maintaining service reliability, ensuring proper documentation, and facilitating smooth delivery execution, this position is instrumental in driving customer satisfaction and business continuity.

This role is ideal for those who thrive in dynamic environments, value collaboration across multiple teams, and are committed to delivering exceptional support that directly impacts customer experience and company growth.

What you will be doing:

  • Order Entry & Support

    • Input approved manual release orders from Sales Colleagues

    • Check stock availability for bulk, slow-moving and obsolete inventory (Slob), monthly, and event orders

    • Respond to order-related enquiries from Sales Colleagues and Customers

  • Inventory & Unfulfillment Reports

    • Update and share daily inventory reports with relevant teams

    • Prepare shortfall reports

    • Reschedule deliveries for unfulfilled orders

  • Direct Shipment Order Entry & Coordination

    • Receive and process direct shipment orders from Sales Colleague

    • Coordinate with Purchasing team and ensure timely order input in the system

    • Follow up with Sales team on delivery confirmations and invoice issuance

  • Bulk Water Order Processing

    • Process purchase orders, signed delivery orders, and invoice entries in SAP

    • Maintain and update records timely

  • Season Parking & ERP Claims

    • Verify season parking and ERP claim details for the General Retail Sales Team

  • Any other ad hoc duties

Who we are looking for:

  • At least a GCE 'N' Level or its equivalent

  • Effective time management and consistent attention to detail

  • Demonstrates strong teamwork and interpersonal skills

  • 3 years of administrative experiences are preferred

  • Familiar with SAP

  • Working knowledge of Microsoft Office applications

- Able to start work immediately or at short noticewould be preferred
