DESIGNATION : Safety Administrative Assistant

RESPONSIBILITIES

We are seeking a detail-oriented and proactive Safety Adminstrative Assistant to support our Environment Health & Safety (EHS) team. This role plays a vital part in maintaining accurate safety documentation, coordinating meetings and training, supporting site monitoring, and ensuring regulatory compliance to uphold a safe working environment.

Job Responsibilities:

Documentation & Reporting

  • Maintain accurate safety records including daily inspection reports, risk assessments (RA), safe work procedures (SWP), and incident logs
  • Keep updated documentation for worker and subcontractor safety compliance
  • Prepare daily safety sharing slides based on site activities, recent incidents, or MOM advisories
  • Assist in drafting safety reports for internal and external stakeholders

Administrative & Meeting Support

  • Organize and schedule safety meetings, toolbox talks, and EHS Committee meetings
  • Record and prepare meeting minutes for EHS Committee and daily coordination sessions
  • Coordinate training sessions and maintain training attendance records

Site Surveillance & Monitoring

  • Monitor live CCTV footage to identify non-compliance or unsafe acts
  • Report observations to site supervisors or the WSH team
  • Maintain CCTV footage logs for investigation or audit purposes

Communication & Coordination

  • Disseminate safety alerts, circulars, and advisories to workers and subcontractors
  • Follow up with site teams on the closure of inspection findings and non-compliance issues
  • Act as a liaison with regulatory bodies such as MOM or BCA for audits and document submissions

System & Inventory Management

  • Use digital tools (e.g., Microsoft Excel, in-house apps, eSSS) to manage safety inspection data and reporting
  • Track and manage PPE inventory and safety signage
  • Prepare purchase requisitions for safety-related equipment and tools


QUALIFICATIONS
  • GCE 'N' / 'O' Level, Diploma, or equivalent qualification in administration or related field
  • Prior experience in safety or administrative support is preferred
  • Proficient in Microsoft Office and digital tools for safety data management
  • Strong attention to detail, with good communication and organizational skills
  • Familiarity with EHS procedures and regulations is an added advantage
