We’re looking for a resource manager that can keep things moving

This person would manage the workflow, resources, and project schedules of a Octagon APAC. They work closely with the ECD, project managers, client service and, most critically, the creative team to ensure everyone is on the same page and that projects progress smoothly.

This includes receiving and understanding the nature of requests, managing resources, and supporting client service teams to follow the proper process of briefing and booking creative.

The Resource Manager will be in regular contact with both the ECD and local management to share status updates on workflow and pinch points, so that decisions can be made on project prioritization, allocation and approved budget for freelance.

This person needs a combination of educational qualifications, experience, organizational skills, and proficiency in relevant software tools. They also need excellent communication and problem-solving abilities, and should be able to work under tight deadlines and high pressure whilst handling multiple tasks simultaneously. Oh, and it helps if we all have a bit of fun along the way.


Responsibilities and Duties

  • Manage the creative department’s time and workflow, ensuring they understand daily tasks set, and keeping accurate account of their skills and capacity.
  • Assign projects and constantly check the statuses of outstanding tasks
  • Manage multiple simultaneous workloads, timelines, and project communications, utilizing excellent attention to detail and clear communication skills to stay closely connected to teams and client project requirements.
  • Prioritize and re-prioritize requests based on clients’ shifting needs
  • Foster effective communication by providing regular updates to the ECD, the creative department and the agency as a whole.
  • Route and re-route work to keep the department’s workload balanced
  • Use broad project management skills to drive rigour and efficiency across the creative resourcing needs of the agency across APAC, flagging potential pinch points so that priorities and additional freelance budgets can be decided
  • Work with senior stakeholders, including the ECD, to develop basic timing and budget estimates for creative delivery
  • Oversee and own the creative resource planning and scheduling documents, host internal meetings (1:1 with client teams and all-agency, as required) and flag opportunities and issues with senior stakeholders as required
  • Maintain our freelance contact list, actively sourcing freelance staff to grow the freelance database, and work with finance and local office admin support team to contract those individuals.
  • Utilize these staff, ensuring that chargeable work is effectively managed, that pitches are adequately resourced.
  • Keep track of creative departments subscriptions and tools, liaising with 3rd party suppliers when necessary to ensure we are up-to-date with the latest offerings and payments.
  • Keep Management and finance teams in each market across estimated and actual spends on resources and other costs
