Job Description
We are seeking a highly organized and efficient administrative assistant to join our firm. The ideal candidate will have at least 2 years of experience in office management and a strong ability to multitask. This person will be responsible for managing front desk operations, coordinating office administration tasks, and supporting daily business activities to ensure smooth operations.
Responsibilities:
- Greet and assist visitors, clients, and employees in a professional and friendly manner.
- Answer, screen, and direct incoming calls and emails properly and promptly.
- Handle incoming and outgoing mail, courier deliveries, packages, and documents.
- Manage meeting room bookings and ensure rooms are clean and properly set up before and after meetings.
- Monitor pantry and stationery supply and coordinate timely replenishment.
- Manage the office area and supervise the cleaner’s work to ensure it is a clean, organized, presentable at all times.
- Liaise with vendors and service providers for repairing or maintenance work of office equipment and facilities.
- Provide administrative support to partners, manage and maintain schedules or appointments, facilitate their restaurant, travel or accommodation bookings when required.
- Perform general administrative tasks such as copying, scanning, and filing, ensure the smooth operation of office equipment.
- Assist in preparing simple reports, expense claims, and reimbursement forms.
- Assist with staff on-boarding and off-boarding procedures.
- Provide administrative support for company events, meetings, and staff activities.
- Handle ad-hoc tasks assigned.
Requirements:
- Minimum qualification of Diploma or equivalent
- At least 2 years of experience in reception, administrative support or a similar role.
- Strong organizational and multitasking abilities and able to prioritise tasks effectively with attention to detail and accuracy.
- Good communication and interpersonal skills. Proficiency in Mandarin is a plus for communicating with Chinese clients.
- Familiar with office equipment and software, proficient in Microsoft Office.
- Positive attitude and strong sense of ownership.
