Duties include handling phone calls, welcoming visitors, sorting mails, and maintaining office records. - Provide administrative support to ensure effective office services.
- Answer, screen, and forward incoming phone calls.
- Receive and greet visitors at the front desk.
- Handle incoming mails and documents.
- Maintain records of registered letters and couriers.
Responsibilities
- Responsible for providing administrative support to ensure that office support services are provided in an effective and efficient manner
- Answer, screen and forward incoming phone calls
- Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Handle incoming mails, documents and couriers. Sort and distribute mails to respective departments/personnel
- Maintain records of registered letters, courier and official letters
- Maintain and update the booking system for meeting rooms at level 1
- Inform Tea-Lady of meeting for the setting up of meeting rooms
- Prepare Personal Protective Equipment (PPE) for visitors/clients
- Ensure that meeting rooms and PPE are clean, tidy and in good working condition
- Arrange and maintain the potted plants in the office by the landscape company
- Responsible to email the Corporate e-Birthday Card to staff
- Responsible for maintaining office fixed assets record and order upon request from the relevant department
- Submit requisition of stationery and pantry items. Ensure adequate stocks
- Prepare and issue car park decal, verify invoices (couriers, phone bills, newspaper and laundry, Esso and transport).
- Arrange company transport for staff and workers
- Issue memo for staff welfare pertaining to ‘Newborn Babies’ and ‘Condolences’
- Arrange of fruit basket to staff for newborn or on hospitalization leave
- Update memo for welcoming new staff, resigned staff, promotion and transfer staff
- Maintain a safe and clean reception and lobby area
