About Our Client

A prestigious global law firm renowned for its high-profile client work, collaborative culture, and commitment to excellence across global financial and legal markets.

Job Description
  • Greet clients and visitors and handle client and visitor requests (e.g., document printing, catering, transport arrangements)
  • Answer telephone calls promptly and maintain a presentable, welcoming reception area
  • Manage conference room booking schedules for meetings, client events, and internal activities
  • Provide first-line support for audio-visual setups and technical needs during meetings
  • Ensure cleanliness and readiness of client suites and shared social spaces
  • Manage and maintain records of office security access passes
  • Provide secretarial support to fee earners (e.g., printing, photocopying, binding, preparing hearing bundles, booking travel and restaurants)
  • Provide secretarial coverage during team absences
  • Liaise with building management on maintenance and repair issues
  • Coordinate with vendors for maintenance of office equipment and facilities
  • Monitor and manage inventory of pantry supplies, stationery, and office essentials
  • Handle courier and transportation arrangements upon request
  • Support marketing and business development in organizing client seminars, conferences, and networking events (e.g., venue liaison, room setup, RSVP management, name badge preparation)
  • Perform various ad-hoc tasks to support the team and daily office operations
The Successful Applicant
  • Has 2 years of relevant receptionist and office administrative experience
  • Possesses strong business accumens, organisation and attention to details.
  • Strong analytical skills, interpersonal skills, and a professional attitude.
  • A strong team player with the ability to handle multiple tasks efficiently under tight deadlines in a fast-paced environment
  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint, SharePoint)
