Responsibilities
Receptionist Duties
- Serve as the face of the company, exemplifying professionalism, a presentable appearance, and a warm, welcoming demeanor to all visitors.
- Greet clients and visitors with a positive attitude, assisting them in navigating the office and ensuring they are directed to the appropriate person or meeting room.
- Manage front desk activities, including visitor registration and access card issuance, to ensure office security and compliance with safety procedures.
- Maintain a tidy and presentable reception area with necessary stationery and materials (e.g., pens, forms, brochures).
- Address admin-related queries in-person and/or via phone/email in a timely, accurate and professional manner.
- Receive, sort, and distribute mail/deliveries; open letters from statutory boards, banks, law firms and manage urgent correspondences in a timely manner.
- Arrange domestic and overseas courier services as required.
Facilities Management Duties
- Support the management of facilities and office inventory effectively, drive cost efficiency and budget control.
- Coordinate with vendors for maintenance and repair services, ensuring high standards of workplace environment.
- Order and maintain inventory of office supplies (e.g., name cards, envelopes, stationery, pantry supplies).
- Maintain a good relationship with vendors and ensure the quality of vendor services.
- Negotiate with vendors on corporate rates to optimize cost-effectiveness and quality of services, thereby contributing to the organization's operational efficiency and budget management.
- Assist with booking, managing, and maintaining meeting rooms, including setting up for meetings and events.
- Support wellbeing activities coordinated by the business’s Brand, Communications and Sustainability Team, and other participating stakeholders.
Administrative Support Duties
- Support the onboarding and offboarding of staff, including secondees, ensuring smooth transitions.
- Assist wellbeing activities coordinated by the business’s Brand, Communications and Sustainability Team, and other participating stakeholders.
- Efficiently initiate and manage purchase and payment requisitions using SAP, ensure timely and precise processing. Diligently review and verify incoming invoices for accuracy, confirming that all charges align with contract terms and the services received.
- Perform reconciliation of monthly statements for business services such as GRAB business account.
- Execute ad-hoc administrative tasks such as filing, photocopying, transcribing, and faxing.
- Perform any other administrative tasks that may be assigned.
Requirements
- Diploma or equivalent in Business Administration or a related discipline.
- 3 - 7 years of experience in a corporate receptionist, office administration, or facilities support role.
- Strong front-of-house presence with professional communication skills in English.
- Hands-on experience with office operations, vendor coordination, and purchase/payment processing (SAP preferred).
- Organised, service-oriented, and able to manage multiple administrative tasks independently.
