Job description

Job Summary:

We are seeking a well-organized, proactive, and personable Receptionist to manage our front desk and serve as the first point of contact for visitors and callers. In addition to performing standard receptionist and administrative duties, this role will involve coordinating travel arrangements, including sourcing and comparing ticket options across various platforms and travel agents. The selected candidate must be detail-oriented, capable of working independently, and comfortable with presenting ticketing comparisons for management review and final approval.

Key Responsibilities:

Front Office & Administrative Duties:

  • Greet and assist all visitors in a professional and courteous manner.
  • Answer, screen, and forward incoming phone calls.
  • Handle general inquiries and ensure prompt and efficient communication.
  • Maintain a tidy and organized reception area.
  • Manage incoming and outgoing mail, couriers, and packages.
  • Coordinate meeting room bookings and ensure readiness for meetings.
  • Maintain office supplies inventory and place orders as required.
  • Assist with document filing, photocopying, scanning, and other clerical tasks.

Travel Coordination & Ticket Sourcing:

  • Research and identify the most cost-effective and convenient ticketing options (air, train, etc.) across multiple platforms and approved travel agents.
  • Compare prices, routes, timings, and cancellation policies.
  • Prepare clear, concise comparison summaries for management approval.
  • Maintain records of all bookings and approved travel itineraries.
  • Liaise with travel agents as needed for bookings and adjustments.

Qualifications & Skills:

  • Proven experience as a receptionist or in a front office role.
  • Prior experience or familiarity with online travel booking platforms is an advantage.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Ability to handle multiple tasks and prioritize efficiently.
  • Discretion and confidentiality in handling sensitive information.
  • Attention to detail, especially in data entry and comparisons.

Education & Experience:

  • High school diploma or equivalent; diploma in office administration or related field is a plus.
  • 1–3 years of relevant work experience preferred.

Working Hours: Monday to Friday, 9am to 6pm but some flexibility required for ticket bookings/flash deals that are time-sensitive.
Budget: SGD 2500 per month maximum.
