Job description

Key Responsibilities:

Front Office & Administrative Duties:

  • Greet and assist all visitors in a professional and courteous manner.

  • Answer, screen, and forward incoming phone calls.

  • Handle general inquiries and ensure prompt and efficient communication.

  • Maintain a tidy and organized reception area.

  • Manage incoming and outgoing mail, couriers, and packages.

  • Coordinate meeting room bookings and ensure readiness for meetings.

  • Maintain office supplies inventory and place orders as required.

  • Assist with document filing, photocopying, scanning, and other clerical tasks.

Travel Coordination & Ticket Sourcing:

  • Research and identify the most cost-effective and convenient ticketing options (air, train, etc.) across multiple platforms and approved travel agents.

  • Compare prices, routes, timings, and cancellation policies.

  • Prepare clear, concise comparison summaries for management approval.

  • Maintain records of all bookings and approved travel itineraries.

  • Liaise with travel agents as needed for bookings and adjustments.

Qualifications & Skills:

  • Proven experience as a receptionist or in a front office role.

  • Prior experience or familiarity with online travel booking platforms is an advantage.

  • Excellent communication and interpersonal skills.

  • Strong organizational and time-management abilities.

  • Proficient in MS Office (Word, Excel, Outlook).

  • Ability to handle multiple tasks and prioritize efficiently.

  • Discretion and confidentiality in handling sensitive information.

  • Attention to detail, especially in data entry and comparisons.

Education & Experience: 1–3 years of relevant work experience preferred.

Working Hours: Monday to Friday, 9am to 6pm but some flexibility required for ticket bookings/flash deals that are time-sensitive.
