Purchasing Executive

Duties & Responsibilities :

This is a Contract position.

• Execution of purchase orders and follow up with suppliers on order acknowledgement.
• Work closely with customer service & sales team and requestors for stock requirement.
• Monitoring of overdue orders and follow up with suppliers on late deliveries, this includes documentations filing and data entries for internal reference.
• Maintaining the correct purchase price in ERP system and support sales team pertaining to purchase price enquiries (intercompany and external suppliers).
• Coordinate with suppliers, forwarders, warehouses and customer service department pertaining to incoming Import shipment.
• Monitor shipment status and direct forwarder to deliver shipment to desired destination (local and overseas). Ensure shipping documents such as Import Declaration, B/L, etc are in order.
• Liaise with internal and external warehouse pertaining to goods receiving issues. (i.e : GRN, EDI, shipment discrepancy, etc)
• Manage and generate landed cost on ERP system derived from goods receipt (GRN) prepared by receiving warehouse.
• Demand forecast planning – Determine purchase needs based on quarterly, annual numbers and forecast from Sales team/Customer Service.
• Consolidate forecast data and liaise with supplier on forecast requirement.
• Update monthly freight charges report and verification of freight billings.
• Preparation of monthly cost synergy report.
• Conduct price comparisons exercise for Air & Ocean freight rates.
• Year-end stock take.
• Other ad-hoc duties assigned by supervisor.

Qualification, Experience, Skills :

• At least Certificate or Diploma in Business / supply chain or equivalent.
• Minimum 2 years’ experience in purchasing and shipping (Air and Ocean).
• Knowledge in ERP system (SAP preferred) and proficient in Microsoft Excel.
• Able to work independently in fast-pace environment.
• Self-driven, initiative & ability to work meticulously.
• Knowledge of Trade Compliance will be added advantage.
