Job summary

A leading procurement firm in Singapore is seeking a procurement officer responsible for materials planning, purchase order management, and shipment monitoring. Ideal candidates have at least 1 year of experience in purchasing or supply chain roles, with proficiency in Microsoft Office and strong communication skills. This position requires attention to detail and the ability to multitask in a fast-paced environment.

Qualifications

  • Minimum 1 year of working experience in a purchasing, procurement, or supply chain role.
  • Basic knowledge of procurement processes and vendor management.
  • Proficient in Microsoft Office (especially Excel).
  • Good communication and negotiation skills.
  • Organized, detail-oriented, and able to multitask in a fast-paced environment.
  • Able to start work immediately or within short notice is an added advantage.

Responsibilities

  • Coordinate with relevant departments for material forecasting and planning.
  • Issue Purchase Orders to suppliers timely and accurately.
  • Reschedule orders based on demand changes or delivery timelines.
  • Update and maintain supplier delivery schedules.
  • Monitor supplier shipments for timely delivery.
  • Handle documentation related to purchasing processes.
  • Support the purchasing department with ad-hoc tasks.

Job description

Job Responsibilities

Materials Planning:

  • Coordinate with relevant departments to forecast and plan material requirements based on demand and inventory levels.

Purchase Order (PO) Management:

  • Issue Purchase Orders to suppliers in a timely and accurate manner.

  • Ensure all POs are aligned with internal requirements and pricing agreements.

Rescheduling and Adjustments:

  • Reschedule orders based on changes in demand or delivery timelines.

  • Communicate effectively with suppliers to accommodate adjustments.

Supplier Delivery Schedule Updates:

  • Update and maintain accurate records of supplier delivery schedules.

  • Track order confirmations and expected delivery dates.

Shipment Monitoring:

  • Monitor supplier shipments to ensure timely delivery.

  • Follow up on delays, discrepancies, or urgent requirements.

Documentation and Paperwork:

  • Handle all related documentation such as PO filing, delivery orders, invoices, and GRNs.

  • Ensure compliance with company policies and procedures.

Ad-hoc Duties:

  • Support the purchasing department in any other tasks as assigned by the superior.
