Job description

The Purchasing and Logistics Specialist will provide commercial and administrative back-office support for purchasing and logistics activities including but not limited to order arrangement, pricing, vessel nomination, and documentation.

Key duties and responsibilities

Order Administration

  • Taking, placing, and following orders (PO/CO) for raw materials administration activities in compliance with company policies and procedures.
  • Complete and update contract summaries.
  • Maintain purchasing documents, files, and records for the purpose of ensuring the availability of documentation and compliance with regulatory guidelines.
  • Proactively coordinating with internal customers and suppliers to resolve routine purchasing supply issues; expedite outstanding purchasing orders to ensure delivery requirements are met.
  • Processes financial data and documents for the purpose of supporting A/C departmental activities.

Problem-Solving

  • Handle and resolve potential conflicts between the Group and 3rd parties (suppliers, customers, and shipping).
  • Anticipate and mitigate logistical risks and take initiative in proposing alternative solutions to issues.

Data Management

  • Evaluate/Analyze current procurement activities and recommend improvement through ERP system and standardization.
  • Update the changes to related business standard practices and interpret procedures to faculty.
  • Reviewing and monitoring ERP data for all business units (Bulk, Container, and Feed Additives), liaising with the team for corrections in order to maintain completeness and accuracy of purchasing data.

M3 Super User

  • Liaise with the ERP consultant on the system functionality and business process questions for fix and resolution from a procurement perspective.
  • Assisting ERP end-users with basic navigation questions and quickly addressing process and system problems.

Qualifications:

  • Diploma/Degree in International Trade/Supply Chain Management
  • Minimum of 3 years of solid experience in Agribusiness Trading Operations
  • Good working knowledge of Import/Export procedures, INCOTERMS, and International Trade is required.
  • Familiar with documentation and order processing, procurement practices and procedures
  • Familiar with MS Word & Excel (PivotTable, VLOOKUP, Match, Index functions)
  • Knowledge of GAFTA will be an advantage
