Public Relation Officer cum Document Controller
Responsibilities
- Manage feedback, queries and resolve complaints from the public in a tactful and professional manner.
- Develop and execute a plan to promote good community relations through outreach activities and events, advise and update the public on construction progress and expected inconvenience during the project, including developing and preparing letters, notices and newsletters to keep the community and residents informed of key project milestones and developments that impact them while working closely with the Project Team and initiating proactive measures to mitigate complaints.
- Manage feedback, suggestions and complaints and follow up with remedial action.
- Prepare updates and respond to client’s requests for information about project status.
- Assist to process the application of site entry passes for all workers and staff.
- Implement Project Document Management System and processes in accordance with company policies.
- Ensure document submissions are in accordance and compliant with project document formats and requirements.
- Establish and maintain a correspondence system.
- Implement workflows and collate issue and receive documents in accordance with project requirements for the development, review and approval of design documentation and all other procedures, instructions, product certification and records that are subject to review and approval.
- Record issues and track location of control documents and drawings.
- Ensure current versions of all documents subject to revision are maintained and current versions are issued to required project parties.
- Coordinate storage and archiving of project and organisational records.
- Ensure the documents are managed in strict confidentiality.
- Issue letters and receipts concerning the documents in circulation.
- Any ad‑hoc duties as assigned by the Project Manager.
Requirements
- Diploma/Degree in Business Studies/Administration/Management/Public Relations/Communications or equivalent.
- At least 3-5 years’ experience in a document control position in the construction industry.
- Self‑motivated, responsible, independent and possess excellent interpersonal and communication skills.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint), Adobe Acrobat.
