Position Summary

This position requires a minimum of 3-5 years of experience in the pharma/biotech industry and will be part of a collaborative team of business development managers, regional managers, global directors, and project managers. This dynamic role requires strategic thinking, flexibility, planned and proactive approaches, and the ability to shift priorities frequently while maintaining attention to detail and high-quality standards. Proposal Coordinators must be able to prioritize, multi-task, operate effectively under multiple deadlines and time constraints, schedule workload, and manage time efficiently in a high-pressure, fast-paced environment while demonstrating an energetic can-do attitude.

Responsibilities
  • Collaborate with business area leaders, business development, operations team members, and others to achieve objectives.
  • Develop proposal responses collaboratively with regional pursuit teams and independently when empowered.
  • Write proposal sections based on existing information, staff interviews, and research, with input from colleagues.
  • Develop proposal management plans, schedules, compliance matrices, and track schedules, assignments, and action items.
  • Handle various proposal types including detailed RFP responses, qualification packages, PowerPoint presentations, and assist in oral presentations.
  • Coordinate with Marketing on collateral supporting proposals, presentations, and client requests during the pursuit process.
  • Support business development and operational personnel in market research, competitor analysis, and client intelligence gathering.
  • Record information in the customer relationship management (CRM) database before, during, and after proposal development.
  • Lead and conduct final proposal formatting, production, and ensure on-time delivery.
Critical Skills and Knowledge
  • Bachelor's degree in English, liberal arts, business, engineering, marketing, or equivalent experience.
  • 3-5 years of experience in proposal development and production.
  • Strong interpersonal skills and experience collaborating with multidisciplinary teams.
  • Ability to work flexible hours and shift priorities while maintaining quality and meeting deadlines.
  • Effective organization and information management skills.
  • Excellent written and verbal communication skills, professional demeanor.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and CRM systems; experience with Adobe is a plus.
  • Team-oriented with willingness to assist colleagues as needed.
Working Conditions

Extensive computer and phone usage. Adjusted work hours depending on time zones. Employees may be asked to perform additional duties as required.
