The Property Officer will oversee the maintenance and management of the company’s residential and commercial properties. This role involves supervising repair and maintenance works, ensuring tenant satisfaction, managing daily operations, and maintaining compliance with regulations and company standards. The position requires a proactive individual with strong organizational and communication skills, capable of working independently and collaboratively to deliver effective property management.
Key ResponsibilitiesTenant ManagementAssist tenants with their needs, addressing concerns, complaints, and inquiries promptly.
Manage the handover and takeover of premises, including coordinating tenancy fitting-out.
Respond to tenant feedback and foster positive tenant-landlord relationships.
Develop and implement strategies to enhance tenant satisfaction and retention.
Oversee day-to-day operations of residential and commercial properties to ensure smooth functioning.
Conduct periodic property inspections (e.g., fire safety, structural, usage) and recommend repairs, upgrades, or changes as needed.
Promote safety and ensure compliance with building regulations and company policies.
Supervise contractors to ensure repair and routine maintenance works are completed satisfactorily per contract terms.
Schedule and oversee breakdown, preventive, and corrective maintenance activities.
Investigate reported breakdowns and faults, analyzing causes to prevent recurrence.
Conduct regular property inspections and recommend necessary upgrades or repairs.
Manage fit-out, reinstatement, and addition & alteration (A&A) works.
Coordinate with contractors on preventive measures and maintenance solutions.
Handle administrative tasks, including creating purchase orders, submitting invoices, and forwarding them to accounting.
Review and approve vendor invoices for accuracy.
Update and maintain property management systems or databases.
Prepare and submit the Monthly Management Report and reports on property performance or financial summaries.
Handle correspondence (e.g., emails, phone calls) with clients, tenants, and service providers.
Assist in budget creation by researching prices and preparing reports.
Manage budget preparation, delivery, and forecasting.
Oversee financial administration, including billing and collection processes.
Manage property tax matters, including claims and dispute resolutions.
Ensure all services comply with rules, agreements, and company standards.

Monitor lease expiry dates and renewal lead times, preparing Tenancy Agreements as needed.
Ensure adherence to internal control procedures and safety/security of premises.
Liaise with legal advisors, agents, tenants, project managers, and tax/accounting advisers.
Supervise term contractors to ensure work meets performance standards.
Coordinate with property agents and obtain market reports (e.g., URA/JTC data, asking rates).
Negotiate favorable tenancy terms to benefit the company and tenants.
Update and maintain the tenancy schedule.
Perform any other ad-hoc duties assigned by management.
Tertiary qualifications, preferably in Property, Real Estate, Facilities, or a related discipline.
Minimum of 2 years of relevant experience in property management, with familiarity with local building codes and regulations.
Proven experience in property/asset management, ideally with residential and commercial properties.
Track record of successful supplier contract negotiations.
Experience preparing detailed asset plans, complex budgets, and comprehensive reports.
Hands-on experience with Mechanical and Electrical (M&E) systems and defects management.
Valid Class 3 Singapore driving licence.
Ability to multitask efficiently and work independently.
